We are seeking a Purchasing Coordinator. A BMI Purchasing Coordinator prepares and maintains purchase orders, provides general purchasing-related support to all BMI staff, maintains vendor database in Oracle and assists Accounts Payable with invoice processing and receiving to resolve receipt or invoice discrepancies.

Essential Functions:
Create purchase orders for requisitions of goods and services through the O! racle Purchasing system. Place online/credit card orders, fax ! and phone orders, and handle emergency purchases as needed.
Add vendors or make updates to the vendor database as needed.
Open and process incoming department mail; organize and maintain filing system for purchasing documentation. Review, sort, and route incoming invoices for timely processing.
Communicate (written and verbal) clearly and professionally with employees and vendors in order to resolve issues relating to quotes, invoices, purchase orders, delivery receipts, and payments.
Obtain W9 from new vendors and complete required credit information.
Prepare monthly purchasing reports as needed, including departmental metrics reporting.
Research and resolve aging open purchase orders and uninvoiced receipts as necessary.
Research and identify potential suppliers for goods and services as needed. Meet with potential new vendors and solicit bids as required.
Coordinate Requests For Proposals (RFPs) and analyze vendor responses as necessary. Identify and communicate opportunities for cost savings; negotiate pricing/terms with vendors as appropriate.
Contact vendors and departments as exceptions arise with shipping/delivery and resolve those issues.
Cross train with the Accounts Payable team to assist in processing of invoices or payments as needed.
Maintain updated written procedures for all recurring tasks performed.
Adhere to, enforce, and communicate Purchasing and related Accounting policies.
Assist management with special projects as needed; assist with implementation of process improvements as appropriate.
POSITION QUALIFICATION REQUIREMENTS

Education:
Associate degree in related field required. Bachelor's Degree preferred; or equivalent experience.
Knowledge of Oracle Financial modules (Purchasing, Accounts Payable).

Experience:
Three (3) years purchasing experience.
Proficiency in Microsoft Office (Excel, Word, Access).
