Tree of Life ABA Therapy is in search of an office assistant to join our administrative team. Our office staff promotes collaboration, conversation, and teamwork while providing high quality administrative support and comfort to our clinical staff and patients. They strive to maintain an atmosphere where our patients and families feel welcomed and supported!

We currently only need support for 5-7.5 hours weekly. The number of hours is dependent on work assignments. this position has the potential to increase in hours to 15 hours a week.

A BCBA led company that prioritizes a client-centered mindset, aba-centered treatment programs, and heart-centered team members. we are a small business, growing organically and helping those we can. our mission is to provide the best quality of applied behavior analysis (aba) to those with whom we work.

Hours of work

  • The core hours of work are Monday through Friday, 7:30am-9:30am.

Qualifications and Education Requirements

  • Highschool diploma or equivalent
  • High communication skills

Responsibilities:

The job scope is dependent on the needs of the business and the applicant's skills. This is a small business, so the job can change.

  • Provide administrative support to the office staff and management team
  • Assist with scheduling appointments and managing calendars
  • Greet and check-in patients, ensuring a positive and welcoming experience
  • Answer phone calls, take messages, and direct inquiries to the appropriate person
  • Coordinate projects and ensure timely completion of tasks
  • Transcribe notes and documents accurately
  • Proofread documents for grammar, spelling, and punctuation errors
  • Ability to demonstrate ethical conduct, confidentiality, and collaboration with the healthcare team are expected and considered essential elements of this position.
  • Exhibit skills in flexibility, problem solving and perspective taking.
  • Schedule appointments to optimize patient satisfaction, provider time and most effective utilization of both client treatment hours and staff availability.
  • Manage cancellations and schedule changes.
  • Respond to staff emails, texts and calls.
  • Maintain office files and records in an organized manner
  • Assist with basic bookkeeping tasks using QuickBooks

Skills:

  • Demonstrated ability to identify, prioritize and solve problems
  • Excellent organizational and time management skills
  • Strong attention to detail and accuracy
  • Proficient in using office equipment such as computers, printers, and scanners
  • Ability to multitask and prioritize tasks effectively
  • Strong written and verbal communication skills
  • Ability to interface in a direct manner with business owner
  • Previous experience as a personal assistant or in a clerical role is preferred
  • Familiarity with medical or ABA terminology is a plus
  • Fluent in Spanish a plus
