Description


This is 9-month position, working 40 hours a week from August 15th to May 15th. Coordinate the services, activities, and offerings of ASUMW and associated programs. Develop, monitor and reconcile the budgets for Student Senate, Student Activities, Campus Clubs, KDWG, Safe Ride and Recycling. Provide budget oversight and fiscal direction for ASUMW associated accounts, clubs, and organizations. Provide training and oversee marketing for ASIJMW programs, events, and activities.

Maintain accounts payable and receivable for all budgets associated with ASIJMW. This includes printing and distributing purchase orders, collecting receipts from vendors, fiscal monitoring, expenditure approval, data entry and travel arrangements. Provide fiscal training, guidance, budget training and oversight to student groups with regard to their ASUMW Club accounts. Manage high risk clubs/sports associated with ASUMW including record keeping, insurance documentation, high risk handbook, training, etc. Maintain communication and work collaboratively with 30 plus student clubs and their faculty/staff advisors. Maintain proficiency with UMDW data warehouse. Assist with the budgeting, awarding and disbursement of X-I Grants, ASUMW club awards, and ASUMW sponsored student scholarships.


Requirements


  • Ability to provide support to student clubs, activities, and faculty/staff advisors.
  • Knowledge of proper accounting procedures and computer skills necessary to read, write, and maintain budgets.
  • Demonstrated ability to work independently in a fast-paced office and academic environment.
  • Ability to train and guide students in successful implementation of ASUMW related programs and activities.
  • Ability to communicate effectively and professionally with a diverse population of students, faculty, staff, and community members.
  • Ability to solve problems, work independently and as a team.
  • Ability to incorporate student interests and foster student growth and achievement in relation to ASUMW programs and clubs.
  • Manage all aspects of ASUMW Office.

  • Manage high risk clubs/sports associated with ASUMW including record keeping, insurance documentation, high risk handbook, training, etc.
  • Maintain communication and work collaboratively with 30 plus student clubs and their faculty/staff advisors.
  • Maintain proficiency with UMDW data warehouse, DAXCO digital marquee software, and other specialized office procedures.
  • Manage student work contracts for Activities Coordinator, Intramurals Coordinator, President, Vice President, Work Study, and Safe Ride Drivers.
  • Provide ongoing education to UMW students regarding ASUMW mission.
  • Provide guidance, budgetary analysis, record keeping, and committee oversight to ASIJMW President, Vice President, Activities Coordinator, and Intramurals Coordinator.
  • Hire, train, direct, and supervise student employees for senate, Safe Ride, intramurals, and activities positions.
  • Oversee student work including tracking of hire cards and monthly time cards.
  • Supervise and oversee student clubs and ASUMW activities in accordance with university policies and procedures.
  • Maintain integrity of ASUMW Office by demonstrated ability to take meeting minutes, follow-up on task assignments and work with a variety of students and activities to accomplish set goals and assignments,
  • Manage, plan, and maintain knowledge of new activities for students. Be aware of intramural activities students want to engage in today. Purchase equipment; maintain equipment so it is stored appropriately, and ready for use as needed.
  • Provide recreational activities to keep our students engaged in the campus and surrounding areas. Work with the University of Montana – Missoula in providing more campus rec opportunities for our students.

  • Position requires excellent communication and organizational skills.
  • Strong ability to multi-task and communicate effectively with a diverse campus community.
  • Ability to run all aspects of a multi-faceted, student centered office in a fast-paced environment. Organizational and event planning experience required.
  • Candidate should have strong computer skills and experience with Microsoft Office Suite (Excel, Word, PowerPoint), budgeting, reconciling finances, preparing reports and working with students in an academic environment.
  • Demonstrated ability in working with multiple departments and maintaining oversight of an entire office.
  • Knowledge of proper accounting and budgeting procedures.
  • Strong management, problem solving, planning, and conflict resolution skills required.
  • Preference will be given to candidates with the following qualifications: college degree.
